Operations Manager at team5pm

As Operations Manager, you are at the centre of achieving our operational goals and upholding our high-quality standards. You ensure that day-to-day operations and administration in our Stockholm and Warsaw offices run as smoothly and efficiently as possible. You take ownership in forecasting resource needs, optimising workflows and planning capacity for the teams.

Your responsibilities:

• Coordinate and optimise team planning and capacity across both offices.

• Track and monitor working hours to ensure resource efficiency.

• Support the month-end closing process, collaborating closely with our Finance team.

• Act as the local IT contact, solving basic tech queries and supporting the team with their IT needs.

• Encourage and support the use of AI, automations, and Chat5pm to promote efficient workflows.

• Manage HR admin, including salary payments, new hire prep, growth & development at team5pm, and onboarding.

• Oversee recruitment for both offices, from job postings to phone screenings and hiring.

• Lead engagement conversations and follow-up actions in the office.
  

What are we looking for?

You are pro-active and you work in a structured manner and always see opportunities for efficiency improvements. They can’t drive you crazy, you’re optimistic and you love organizing things.

• 3 - 5 years agency experience in a similar role

• Great knowledge of English language native in either Swedish or Polish

• You have outstanding people skills and colleagues naturally turn to you for support and advice.

• You speak Swedish (native) or Polish (native) and English fluently.

• You live in Stockholm or Warsaw in the surrounding area
