OTC Specialist by SAMY 

As an OTC Specialist, you’ll be responsible for managing the end-to-end Order-to-Cash process, ensuring accurate and timely processing of customer orders, invoicing, payment collection, dispute resolution, and account reconciliation. The role supports financial operations and helps maintain strong customer relationships while ensuring compliance with company policies.

Key Responsibilities:

  • Order Management:

    • Process and review customer sales orders for accuracy and completeness.

    • Monitor order status and coordinate with logistics, sales, and customer service teams to ensure timely delivery.

  • Invoicing & Billing:

    • Generate and issue customer invoices in accordance with contractual terms and billing schedules.

    • Ensure accuracy of billing data and address any discrepancies quickly.

  • Accounts Receivable:

    • Monitor customer accounts for incoming payments.

    • Apply payments to customer accounts accurately.

    • Follow up on overdue accounts and work with customers to resolve outstanding balances.

  • Dispute & Deduction Management:

    • Investigate and resolve customer billing issues, disputes, and short payments.

    • Collaborate with internal teams (sales, logistics, customer service) to resolve disputes efficiently.

  • Reporting & Reconciliation:

    • Prepare reports on receivables, aging, and collection activities.

    • Perform regular account reconciliations and support month-end closing processes.

  • Compliance & Process Improvement:

    • Ensure all OTC processes comply with internal controls, company policies, and audit requirements.

    • Identify opportunities for process improvements and support automation initiatives.

What are we looking for

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.

  • 2+ years of experience in OTC, Accounts Receivable, or a similar finance role.

  • You know your way around financial tools and ERP systems (e.g., SAP, Oracle, Netsuite, Microsoft Dynamics).

  • You have excellent communication and customer service skills.

  • You’re analytical and have a sharp eye for detail: you can handle big piles of data without dropping the ball.

  • You’re cool under pressure and know how to hit deadlines, even when it gets busy.

  • You’re a real team player who communicates clearly and works well with others.

  • You’re totally comfortable communicating in English, both written and spoken. If you also speak Dutch and French, it’s definitely a plus!
